Now In Our HubSpot: Auto-Billing for Recurring Services Ability

 

 

What is it?

Webolutions now has access to a new groundbreaking feature that allows for the automation of invoicing and the seamless acceptance of online payments for our client's recurring services directly from our CRM. This new capability enables the effortless management of recurring services as subscriptions, facilitating the creation and delivery of recurring invoices to our valued clients, and enabling convenient direct payments through our branded invoices.

Automating the billing of our recurring services not only reduces errors but also enhances our efficiency by providing a seamless and error-free process. With comprehensive oversight and reporting capabilities, our accounting team can now focus on more strategic tasks, optimizing our operations. This innovative feature allows Webolutions to effortlessly manage recurring payments and subscriptions, ensuring smooth and timely transactions. By receiving real-time notifications for any overdue invoices, we can proactively address any payment issues, thus improving our financial management. How does it work?

To get started, navigate to Commerce > Subscriptions and click Create Subscription. If you want to automate recurring payments, create a payment link. If you want your buyer to receive an invoice to pay each month, automatically send recurring invoices to customers. Regardless of which option you choose, an invoice will be associated when the buyer pays so you can seamlessly sync Commerce data to your accounting systems.

Once you select automatically send recurring invoices to customers, you can specify the contact, company, and products the subscription is for. Any recurring line items will need to bill together to be on the same subscription.

Once you specify the buyer and line items, specify how they should pay. After you configure the subscription, click Create. A subscription will be created and invoices will automatically be sent to buyers on each bill date. Our HubSpot is already set up to accept payments globally and consolidate your tools.

A few notes:

  • Invoices will be automatically sent to the associated contact of the subscription on each billing date.
  • If Payment Terms (net 30) are set, the billing date + payment terms are used to calculate the due date of the invoice.
  • The Subscription status will remain active if all invoices are paid or move to unpaid if any invoices are past due.
  • Invoices can be marked as paid if your buyer would like to pay using check or non-digital payment methods.
  • If you need to make any changes; you can edit the subscription, edit the billing date, pause, or cancel the subscription.
  • Subscriptions currently support all currencies available through our Stripe integration, more currencies will be added over time.
